Booth Application Steps

Begin Your Application

Exhibit applications open in early August. To begin, (1) answer the membership question, (2) agree to the exhibit terms, (3) add a membership, (4) continue to the shopping cart.

Select Booth Type and Size

Choose your booth type and size. All booth sizes are available in all zones. The exhibits manager will contact you during the booth assignment process to confirm your placement.

Select Preferred Zones

From the shopping cart, click ‘Add/Edit Booth Products’. Select your top 6 preferred zones from the floorplan and include notes, such as a preference for the same location as last year.

Complete Checkout Process

Ensure your company and personal information are accurate. You’ll receive an order confirmation email and a ‘Membership Confirmation’ email after completing your purchase.

When selecting your booth, you will review the floorplan and list six preferred zones in order of preference.

Instrument Manufacturers/Retailers must select booths within the “Instrument Marketplace” (zones 1-10), which is divided as follows: Soft Instruments (zones 1-4): Strings, woodwinds, and other quieter instruments. Hard Instruments (zones 5-8): Brass, percussion, and louder instruments. Mixed Instruments: If you offer a mix of “hard” and “soft” instruments, choose zones 5-8 or 9-10 (mixed). All other exhibitors may choose from zones 11-28.

Booth Policies

Exhibitors must adhere to all exhibit rules and regulations.

Booth Payment

Payment should be submitted via the online booth contract or by mail to:

A 50% deposit of your total exhibit space cost, plus your Sustaining Membership fee ($75), is due at the time you submit your application.

Applications submitted on or after December 1 require full payment at submission. All exhibit booth payments are due in full by December 31, regardless of when you applied.

Cancellations requested in writing on or before January 1 forfeit the non-refundable 50% deposit. No refund is offered after this date. Downsizing your space is treated as canceling the original booth and purchasing a new, smaller one—you may be reassigned to a different location.

If payment isn’t made on time, TMEA may terminate your contract, retain all fees paid to date, and refuse move-in until your account is current. See our full Exhibit Rules & Regulations for additional terms.

Booth Assignment & Priority Points

Booth Assignment

The Exhibits Manager begins assigning booth space on October 1. Assignments will be communicated on a rolling basis no earlier than November 1. Priority points and location requests are considered in the process but do not guarantee a specific booth.

Applications received after January 1 are assigned space on a first-come, first-served basis.

Show Management will place exhibitors near one another only if both exhibitors request it and the point system supports it.
Any change to a booth assignment requires approval from both exhibitors involved and the TMEA Exhibits Manager.

Priority Points

Booth assignments are based on exhibitor priority points. Contracts submitted on or before August 11 receive all 30 contract-submission points. Beginning August 12, points earned decrease by one per day (e.g., on August 12, earn 29 points).

Priority points are based on:

  • Years Exhibiting: One point for each year your organization has exhibited.
  • Booths Requested: Five points for each 10×10 booth requested.
  • Contract Submission Date: Up to 30 points based on submission date.
  • Sponsorship: One point for every $250 spent on sponsorships by September 1

Exhibitor Badges

Three complimentary badges are provided per 10′×10′ booth reserved.

  • All booth attendants must be bona fide employees or clinicians of the exhibiting company.
  • Active music teachers are not eligible for exhibitor badges.
  • Badges are picked up at Exhibitor Registration during registration hours.
  • Sponsored clinicians must be included by name with your badge request. These badges do not count toward your complimentary allotment.
  • Badge requests open online in January.
