Access to early load-in is automatically included for all booths 20X20 and larger. If you need to request early load in, please contact Freeman.
* All exhibitors must vacate the exhibit hall within one hour of closing.
** An early dismantle/departure penalty will be assessed.

Show Services & Addons

If any company or representative other than TMEA or those listed here contacts you by email OR phone offering to help you with decorator services (freight, furniture, electricity, etc.) or purchasing membership data, be aware they do not represent TMEA!

Decorator Services

You may reserve decorator services prior to receiving your booth number.

Liability Insurance

Liability insurance is required for all exhibitors. Rainprotection Insurance offers an exhibitor liability insurance program providing general liability coverage. Learn more and purchase liability insurance online.

Internet Access

SmartCity Networks offers internet services. The ‘Exhibitor Internet’ will be the only available network in the exhibit halls. Browse the SmartCity brochure for details.

Exhibitor App Services

TMEA offers exhibitors complimentary access to the Swapcard mobile app portal where you can enhance your booth profile page including adding videos, images, and handouts. Information about accessing your profile will be sent later this fall. Additional upgrades available for purchase.

Exhibitor Housing

Exhibitor housing will open on September 2. A link to the TMEA official housing reservation site will be sent to all contracted exhibitors on that date. Do not publicize this housing link as it is limited to those contracting space with TMEA. Reservation records are monitored.

Cancellations: Each exhibitor reservation cancelled after January 5, 2026, will be charged a $50 fee to the credit card on the reservation.

Warning! Our only official housing partner is Orchid Events. If any company or representative contacts offering to help you with housing for the conference, be aware they do not represent TMEA!

Show Directions & Load-In

Exhibit Hall & Registration Location

TMEA convention registration is located in the northeast corner of the Henry B. González Convention Center, accessed from the North Lobby. The closest external doors are the North Lobby doors off Market Street, east of the Grand Hyatt Hotel.

Load-In Instructions

  1. Starting Point: Use the address 237 Tower of Americas Way, San Antonio, TX 78205, as the starting point in Google Maps. From there, refer to the dock map.
  2. Join the Line: Turn onto Tower of the Americas Way and join the line of exhibitors waiting to load in. The line may back up on the feeder road, so please be patient.
  3. Check-In: A Freeman Representative will meet you at your vehicle. Provide them with your booth number and company name, and they will guide you on where to go and unload.
  4. Unload: Park in the spot indicated by the representative and unload your vehicle. Note: This area is for unloading only—please do not begin setting up your booth yet. Wednesday Move-Ins: While unloading, go to Exhibitor Registration to pick up your name badge(s) and 4-Day Parking Pass (if purchased).
  5. Move Your Vehicle: After unloading, move your vehicle to make space for others. You can park at your hotel or in the parking lot behind the convention center.
  6. Set Up: Once you’ve parked your vehicle, return to your booth to set up.
