Print Advertising Terms & Conditions

The following Terms and Conditions apply to all TMEA print publications.

1. Content Eligibility & Editorial Approval

  1. Advertising must be in the direct field of music education. All ads are subject to editorial approval.

2. Rates & Discounts

  1. Educational institutions receive a 15% discount on basic ad rates. Educational institution status is open-ended and does not require renewal.
  2. No cash discount.
  3. Discounts apply to the base (Black & White) rate only. If an advertiser qualifies for multiple discounts, only the highest applicable discount will be applied.
  4. Frequency discounts apply only to issues in one magazine volume (September–May). Discounted rates begin at 4 and 9 insertions per year, apply only once the insertion frequency is contracted, and are not retroactive.
  5. Rates are protected upon acceptance of the contract by the Advertising Manager.
  6. Ad rates vary by color usage. Cover ads must be 4-color. For Black & White + 1 Color ads, files may include black plus one CMYK swatch, used at any percentage.

3. Placement

  1. Although every effort is made to accommodate special placement requests, the publisher reserves the right to determine final ad placement. If special placement is not possible, special placement rates will not apply.
  2. Special placement requests (for example, placement in the first third of the publication, left or right pages, specific divisional columns, or two-page center spreads) incur a 15% fee on the base rate, before discounts. See tmea.org/advertising/rates-deadlines/ for current rates.

4. Contracts & Deadlines

  1. A $50 late fee may be assessed for any ad contract and/or ad materials received five or more calendar days after their respective deadlines. New contracts will not be accepted ten or more calendar days after the ad contract deadline.
  2. To support publication schedule integrity, TMEA will use previous ad content when updated content has not been submitted in time to support the production schedule.

5. Payment & Billing

  1. Invoices are sent upon issue publication. Additional copies of the publication are available at market cost, and an interactive version of the magazine may be viewed online.
  2. Advertisers with accounts outstanding for more than 90 days or with three unpaid invoices will be prohibited from advertising in upcoming issues until payment is received.
  3. Advertisers are responsible for payment of all ads.

6. Advertiser Responsibilities

  1. Advertisers are responsible for the accuracy of all claims and for securing proper legal rights and permissions for all submitted content, including images and trademarks. Advertisers are also responsible for ensuring any URLs or linked content included in an ad are functional, accurate, secure, and appropriate.

7. Cancellations

  1. Cancellations must be submitted via email on or before the Ad Materials Deadline (see additional conditions in items 2 and 3 below).
  2. Any advertiser canceling an ad after the Ad Materials Deadline must pay 1/2 of the total cost of the canceled ad (see item 3 for exception).
  3. Cancellations received on or after the 1st of the month preceding the ad insertion month will not be accepted. The advertiser must pay the full cost of the ad regardless of whether artwork is available to publish.

8. Production

  1. Production charges will apply to artwork that must be adjusted to fit the outlined specifications.

Digital Advertising Terms & Conditions

The following Terms and Conditions apply to all TMEA digital advertising placements, including website, email, social media, branded content, and other digital platforms managed by TMEA.

1. Content Eligibility & Editorial Approval

  1. To purchase digital advertisements, your organization must have a current Sustaining or Institutional membership.
  2. Advertising must be in the direct field of music education or otherwise aligned with TMEA’s mission and audience. All advertising content is subject to editorial approval, and TMEA reserves the right to reject, remove, or request revisions to any submission at its discretion.
  3. Advertisers are responsible for submitting materials that meet all provided specifications and technical requirements. Technical specifications are available at tmea.org/advertising/file-specifications/. Advertising content must maintain a professional appearance consistent with TMEA standards and must not mimic editorial or official association content in a misleading manner.

2. Placement Availability & Scheduling

  1. All digital advertising placements are subject to availability and are reserved on a first-come, first-served basis.
  2. Advertisers may reserve only one dedicated placement per digital channel (web, email, or social) per quarter unless otherwise approved by TMEA.
  3. Certain digital advertising opportunities may be limited or unavailable during January and February due to TMEA Clinic/Convention priorities and scheduling demands.
  4. Advertising placements must be reserved at least three weeks prior to the requested deployment date (the “contract deadline”).
  5. TMEA reserves the right to adjust advertising schedules, deployment dates, or placement timing as necessary.

3. Materials Submission & Deadlines

  1. All required advertising materials, including copy, graphics, video, URLs, and related assets, must be submitted no later than two weeks prior to deployment (the “materials deadline”) unless otherwise specified.
  2. A $50 late fee may be assessed for advertising materials received five or more calendar days after the materials deadline. Late or incomplete submissions may also result in rescheduling or cancellation of the placement at TMEA’s discretion.

4. Payment

  1. Payment is due prior to deployment of any digital advertising placement. Advertisers with outstanding balances may have current or future placements delayed or canceled until payment is received.

5. Cancellations

  1. Cancellations must be submitted via email on or before the Ad Materials Deadline. Contracts may be canceled without penalty prior to the materials deadline. Cancellations made after the materials deadline will incur a fee of 50% of the total placement cost.

6. Advertiser Responsibilities

  1. Advertisers are responsible for the accuracy of all claims and for securing proper legal rights and permissions for all submitted content, including images, audio, video, trademarks, and linked materials. Advertisers are also responsible for ensuring all URLs and linked content are functional, accurate, secure, and appropriate.

7. Performance Reporting & Data Privacy

  1. Performance metrics such as impressions, clicks, opens, or engagement data may be provided upon request when available. TMEA does not guarantee specific performance outcomes beyond agreed placement and delivery.
  2. TMEA does not sell, share, or distribute member or audience data as part of this advertising program. Dedicated email advertising placements are distributed by TMEA on behalf of the advertiser and do not constitute the release or transfer of member email addresses.

8. Acceptance

  1. Participation in TMEA digital advertising constitutes acceptance of these Terms and Conditions.
