Job Posting: Administrative Director
The Texas Music Educators Association (TMEA) is seeking candidates for a full-time Administrative Director position to work at the TMEA office in Austin. The Administrative Director is a trusted point of contact who handles confidential information with judgment and discretion. Candidates should have an in-depth knowledge of TMEA’s policies and programs.
Candidates must be highly organized, communicate clearly, and skilled at prioritizing multiple demands. They must be comfortable operating at a fast pace while facilitating improvements and ensuring program objectives are met.
As a key player in our team, the Administrative Director will work closely with the Executive Director and staff to manage and support programs that are instrumental in furthering our mission and goals.

Responsibilities
The Administrative Director executes a wide range of responsibilities, including operational support and program management, including the following, as well as other duties as assigned:
Business Operations:
- Support the Executive Director and staff with operational planning, research, preparation of briefing materials, and maintenance of key records.
- Maintain contracts with service providers for the TMEA building and operations.
- Manage the work of the Administrative Assistant and coordinate TMEA office administrative tasks.
Program Management:
Oversee multiple TMEA programs, including policy implementation, participant communications, volunteer coordination, compliance auditing, and reporting. Programs include:
- TMEA Mentoring Network
- TMEA Scholarship Program
- Texas Future Music Educators
- Online Learning
- Licensed Vendors
Leadership Support:
- Facilitate opening of Region bank accounts, signatory changes, and audit of Region bank accounts.
- Oversee Region financial reporting, and create composite reports to the Executive Board and the auditor.
- Prepare meeting materials for Regions, Executive Board, State Board, and ancillary groups.
- Prepare and maintain the official minutes of every Executive Board and State Board meeting.
- Facilitate event needs for TMEA meetings, including the Executive Board.
- Communicate opportunities and deadlines to Region and Area leadership and support their needs. This includes required policy submissions, materials orders, training, and any requirements from the Executive Board.
Convention Planning and Execution:
- Manage multiple contracts by service providers and convention personnel.
- Collaborate with TMEA’s Financial Manager to audit and execute proper payment of contracts, invoices, and other agreements.
- Assist with accounting of All-State and Area fees.
- Maintain multi-year convention housing contracts.
- Coordinate housing reservations for staff, Executive Board, and other convention personnel.
- Coordinate multiple convention meetings, including meal events.
- Manage the TMEA convention office, supporting volunteers and leadership, documenting issues and needs, and managing responses to real-time needs across all events.
Qualifications & Skills
- Bachelor’s degree required (music education degree preferred)
- Master’s degree preferred (music, education, administration, or business).
- Ten years of experience in classroom music education, fine arts administration, or nonprofit association work is preferred.
- In-depth involvement with TMEA programming is preferred (volunteer roles, elected positions, or activities sponsor).
- Strong ability to synthesize complex information into concise insights and recommendations.
- Excellent written and verbal communication and attention to detail.
- Proven ability to manage multiple priorities, anticipate needs, and work autonomously.
- High integrity, proactive mindset, strong problem-solving skills, and comfort engaging with senior stakeholders.
- Advanced proficiency with Microsoft Office suite (Excel, PowerPoint, Word, Outlook) and Google Workspace.
- Proficient at organizing and managing digital data, including structured filing systems for easy retrieval.
Compensation
This is a full-time, salaried position. Salary is negotiable based on experience and qualifications; TMEA offers a robust benefits package.

Location and Travel
This position is based at the TMEA office located 6 miles northeast of downtown Austin, and employees are expected to work from the office. Regular office hours are 8:30 a.m. to 4:30 p.m.
Some local/regional travel is required, as well as occasional statewide travel. Travel is required to be present throughout TMEA’s annual convention and the TBA/TODA/TCDA concurrent summer conventions.
Key Physical Demands:
- Mobility & Posture: Frequent standing, walking between work areas, sitting for extended periods, and occasional bending, stooping, kneeling, or crouching for file retrieval.
- Manual Dexterity: High level of hand-finger coordination for typing, handling office machinery (printers, copiers), and handling small tools or documents.
- Lifting & Carrying: Occasional lifting or moving of materials up to 10–20 pounds, such as office supplies, printer paper, or file boxes.
- Sensory Requirements: Clear speaking and hearing for communication (in-person/phone), and high visual acuity to read reports and monitor computer screens.
- Driving: Occasional requirement to operate a motor vehicle to run errands or attend meetings.
- Working Conditions: Mostly quiet, climate-controlled office environments, though some roles may require navigating facility grounds or working flexible hours.

TMEA Staff: The business of the association is currently managed by a staff of eleven. Many of TMEA’s programs are administered by member volunteers across the state.
